Agreements play an important role in OC View with regard to the calculation of software licenses. Therefore, we must create at least one agreement if we wish to perform software license calculations later on.
Agreements are linked to licensing programs (e.g. Microsoft SPLA) and contain the product catalog of the selected licensing program in order to enter the purchase price for each product.
Execute the following steps to create your first agreement:
- Click on 'Agreements' in the main menu bar on the left and then on the item 'Agreements'.
- On the agreements page, click on the 'Add' button. A new window will open to create an agreement.
- Fill in the required fields:
- Field 'ID': Enter a unique identifier for your agreement. This is usually the agreement number or another identifier agreed between the two parties of the agreement.
- Field 'Internal ID': This field is optional. You can enter an internal ID for your agreement if it is used for internal purposes or in internal systems.
- Field 'Name': Enter a descriptive name for this agreement so that you can easily distinguish it from others.
- Field 'Currency': Select the currency in which products in the licensing program product catalog are purchased and in which the software licenses are calculated.
- Field 'Licensing program': Select the licensing program you want to associate with this agreement.
- Field 'Agreement period': This field is optional. If your agreement has a start and/or end date, enter these in the two corresponding fields.
- Click on the 'Save' button.
Once the agreement has been successfully saved, the 'Product catalog' menu item will be activated in the same window, provided that the selected licensing program has a product catalog.
- In the same window, click on the 'Product catalog' menu item on the left.
- Enter the purchase prices for the products. You also have the option to import them. To obtain the CSV template, click on the 'Export' button, enter the purchase prices for the products in this file and upload the file by clicking on the 'Import' button. You must enter the purchase prices, as certain licensing programs allow optimizations to be achieved in software calculations by comparing licensing costs.
