A workspace is the highest hierarchy level or root level of structuring your data within OC Reporter. You can create multiple workspaces within OC Reporter to structure and separate your data in some logical way. For instance, if you have multiple agreements in different countries, you could use multiple workspaces to structure your data within separate countries, or you could use multiple workspaces to keep strict separations of your different agreements based on different organizations. But in most cases, usually, only one workspace is enough to manage the inventory data.
OC Reporter will create automatically your first workspace if no workspace exists connected to your OCID.
Settings
To access the workspace settings, you can click on the top-left side in the menu under the workspace selection dropdown the link Show workspace details.
General Data
In the GENERAL DATA tab, you can configure specific workspace settings. To highlight some of them:
- Workspace type field defines what kind of workspace features should be activated. If the field is empty or SPLA workspace is selected, you will have access to all SPLA-relevant features within that workspace.
- The Ignored license contexts field defines which license calculations you want to ignore.
- The Preferred language field defines the general language to use for the workspace. That field can be overwritten by your own user settings.
- The Timezone field is important to define for automatically generated reports and notifications that are sent by email.
- In the CSV separator field, you can define with which character the values in a CSV file should be separated. If the field is empty, by default the semicolon “;” will be used.
- In the Scan frequency field, you define how often you expect the OC Scanners to send their inventory data to OC Reporter. Based on that information, OC Reporter will show alerts and notifications when OC Scanners didn’t send their data in time. That can help you to react faster and check if there are any issues with the OC Scanners.
- The Data import frequency field allows you to configure in which cycles you want OC Reporter to check if new inventory data are available to import. If the field is empty, the default cycle of each 2 hours will be used.
- In the Monthly customer billing day field, you can define, on which day of the month you are usually billing your customers. Based on that information OC Reporter will take care of customer billing reports to be within that observation period you selected. If the field is empty, OC Reporter will always take the end day of the month as the billing day.
- In the field Delete data source if last data import was longer than (in days), you can manage automatically to delete OC Scanners and their inventory data from OC Reporter if the OC Scanners are not sending any inventory data after a specific time you defined in this field. If this field is empty, the OC Scanners will not be deleted by OC Reporter automatically. This field is useful if you can ensure that the OC Scanner is not existing anymore on a specific machine after a time when no inventory data was sent back to OC Reporter.
- In the field Map same users over, you can map different user accounts which belong to the same user over user attributes. If the user accounts have the same attribute values, they will be mapped to one user for the licensing calculation.
SPLA Agreements
In the SPLA AGREEMENTS tab, you are able to manage your SPLA agreements. Please ensure to have always at least one active agreement created. OC Reporter will show an alert if there is no SPLA agreement created. The first field asked to create the SPLA agreement is the Start date. Once you select the start date, you will see other fields to enter. To highlight the important fields:
- Enter in the Name field any name to recognize that SPLA agreement in the OC Reporter application. For instance, you could enter the name SPLA@Reseller and replace the Reseller part with your reseller’s name.
- Enter in the End date field the date when the agreement will end.
- Enter in the Reseller field the name of your reseller.
- In Agreement no. field, enter the enrollment number of the agreement.
- In the Price categories section, select the price category use for the agreement.
- Note: In one workspace you can only select one time the same price category. That means you cannot create two agreements with the same price category. In such cases, you would need to create a new workspace for the other agreement with the same price category.
- In the Status field, set the agreement to Active if it is the current agreement, or to Archived, if the agreement ended.
Note: Don’t create your end customer enrollments in this section. The SPLA agreements section is only for your main agreements. The end customer enrollments are configured in the detailed view of the customers.
Purchaseprices Licensecatalog
In the PURCHASEPRICES LICENSECATALOG tab, you enter mainly the purchase prices of each license you buy from your reseller. You don’t need to enter all the prices, OC Reporter will ask you for the prices of the missing licenses when you generate the usage report. In this section, you can later modify the prices if needed. You can search for the licenses in the search field to get quick access to them. Following fields are available to set:
- In the Own part no. field, you can enter your own part number for that license. That is useful if you are managing the licenses internally under another part number as the part number given by the vendor. This field is optional.
- Based on the price categories you selected in the SPLA agreements section, you will see columns related to those price categories. Enter the purchase prices for each price category. Usually, you will only see the Corporate price category, if there is no SPLA agreement created or only that price category was selected.
Other licenses
In the OTHER LICENSES tab, you have the possibility to create additional user-based licenses, which are collected by the OC Scanner in AD groups, OUs, local groups, etc, as defined in the related scan files. These licenses will also be shown in the usage reports. Following fields are available to create a custom license:
- In the Part number field, you can enter the part number of the custom license. This field is optional.
- In the Name field, enter the name of how the license should be shown in reports, etc.
- Note: Please ensure that the name entered in this field matches exactly with the name entered in the scan file of the OC Scanner under the Desktop Applications settings. Only with that match, OC Reporter will be able to map them together.
- In the Price field, enter the purchase price of that license. This field is optional.
