When personnel changes occur, it’s crucial to ensure that the management and continuity of the OC platform is properly handed over to new team members.
If possible, you should incorporate the following steps into your internal processes to ensure a smooth transition and knowledge transfer within your team and organization:
- Assign responsibilities: Make sure that designated team members in your organization take official responsibility for the configuration, use and maintenance of the OC platform.
- Cyber-security / patching: Make sure the relevant servers/operating systems that house the OC platform are fully patched on a regular basis. Ensure any systems protecting such servers are secured with an appropriate firewall/antivirus solution, and that firewalls/antivirus/web application firewalls are regularly patched, and monitored as per industry best practices.
- Regular checks: Check at regular intervals whether anything has changed in your environment and whether new OC Collectors need to be deployed or existing ones modified.
- Centralized storage of credentials: Ensure that all OC platform server/product/software credentials are securely stored in a central repository, such as a company password vault or database. This repository should be accessible to company management and relevant technical teams.
- Document OC platform server information: Record the OC platform server's IP addresses and DNS names in a safe and easily accessible location (e.g., a password vault).
- Prevent server disabling / removal: Confirm that the OC platform servers or software is not accidentally disabled or removed. Additionally, ensure that the servers housing OC components are not powered off or removed unintentionally.
- Backup procedures: Verify that proper backup procedures are in place for the OC platform servers and databases. These backups should be archived according to industry best practices to ensure data integrity.
- Onboarding / off-boarding engineers: Ensure a proper handover when onboarding or off-boarding engineers working with the OC platform. This includes providing the necessary product access data and conducting a thorough internal knowledge transfer. Don't forget to let us know if our contact persons in your organization change.
