Organizations in OC View are ideal for further grouping your data. You can create your end customers, partners or internal departments, or other business units as organizations. You can assign licensing programs to organizations, allowing you to add sales prices or quantity sold information for each product per organization. You can also assign the collected data from OC Collectors, such as devices, users, software and others to organizations. (Spoiler: This will be achieved through automation.)
Execute the following steps to create your first organization:
- Click on 'Organizations' in the main menu bar on the left and then on the item 'Organizations'.
- On the organizations page, click on the 'Add' button. A new window will open to create an organization.
- Fill in the required fields:
- Field 'Internal ID': This field is optional. You can enter an internal ID for your organization if it is used for internal purposes or in internal systems.
- Field 'Name': Enter the official name of this organization so that you can easily distinguish it from others.
- Field 'Currency': Select the currency in which you interact with this organization. This currency is used for calculating software licenses and other calculations for this organization.
- Field 'Country': Select the country where the organization is located. Some licensing programs require the location of the organizations and their users.
- Click on the 'Save' button.
Once the organization has been successfully saved, the 'Licensing programs' menu item will be activated in the same window and you will be redirected to this section. If not, click on the menu item 'Licensing programs' in the same window.
Execute the following steps to add your first licensing program to this organization:
- On the 'Licensing programs' section, click on the 'Add' button. A new window will open to add a licensing program.
- Fill in the required fields:
- Field 'Licensing program': Select the licensing program you would like to assign to this organization.
- Field 'Licensing period': This field is optional. If you have an agreement with this organization for this licensing program with a start and/or end date, enter these in the two corresponding fields.
- Field 'Excluded from licensing': Keep it 'OFF'. If this option is set to 'ON', this organization and all data assigned to it will be excluded from the license calculations, regardless of whether the assigned data is directly excluded or not.
- Click on the 'Save' button.
Once the license program has been successfully saved, the 'Product catalog' menu item will be activated in the same window, provided that the selected licensing program has a product catalog.
- In the same window, click on the 'Product catalog' menu item on the left.
- If you wish, you can enter the sales prices and quantity sold information for the products. You also have the option to import these. To obtain the CSV template, click on the 'Export' button, enter the sales prices and quantity sold information for the products in this file and upload the file by clicking on the 'Import' button. This information is optional to enter and will be taken into account for calculating the Delta in software licenses.
